Could this run your center?
What the app is for, how it is built, and what setting it up for another property involves. The rest of this site is the real user documentation, so you can read exactly what your team would be using.
The problem it is built for
A retreat center is a small hotel, a kitchen, a maintenance crew and a care team, spread across a piece of land, often with a weak phone signal and a team that does not share one language. The knowledge of how it all runs tends to live in one person’s head.
This app puts that knowledge on the map of the property, in the hands of the people doing the work, and makes it plain who asked for something, who is responsible for it and whether it was done.
What your team would use
| Who | Signs in with | Uses it for | Guide |
|---|---|---|---|
| Worker | Name and PIN, on a phone | The map, lists, checklists, notes, reporting problems, the day’s work | Worker guide |
| Manager | Email and password, tablet or computer | Creating and routing work, stays, gates, the calendar, backups | Manager guide |
| Admin | Email and password, any device | Everything a manager does, plus people, areas of responsibility, clearing and analytics | Admin guide |
Design choices that matter in the field
Made for a weak signal
It installs to the home screen like an app and keeps working when the connection drops: the screens, the map of the property and its satellite imagery are stored on the phone. Ticking lists, checklists, inspections and scheduled work all carry on with no signal and are sent by themselves when it returns. Sending a note or a photo waits for a connection.
Bilingual all the way down
Not only the buttons: what people write is translated when saved, so a note typed in Spanish is read in English by the next person, with the original one tap away.
Accountability without paperwork
Work cannot be submitted without naming who signs it off. Only that person can sign; only an admin can clear it. Each area of the property always has one responsible person, and the app warns the admins when one does not.
Guests’ privacy by design
A guest’s health notes and daily status are kept apart from the booking and can be read by managers and admins only — enforced by the database, not just hidden on the screen. Alerts about a guest carry a name and a colour, never the details.
Honest about what it does not do
There is no artificial intelligence making decisions: the calendar, the map and the analytics are computed from your own records. The calendar shows due and overdue work to whoever opens the app; it does not yet send reminders to a closed phone.
What setting it up for your property involves
- Your map. The center point, your places as pins, your gates, and optionally your trails and a site plan traced from satellite imagery.
- Your lists and checklists. The quick-pick templates (a market list, a tool shed list) and the bungalow readiness checklist are replaced with yours.
- Your people. Accounts for admins, managers and workers, and who is responsible for each area.
- Your own accounts. Each center runs on its own database and hosting, separate from every other center.
