Overseeing the whole center
An admin can do everything a manager can, from two screens: a console for seeing the state of the center at a glance, and the manager’s map and Panel for changing it.

Two screens, one account
| The console | Manager View | |
|---|---|---|
| Made for | A phone in your hand; a sidebar appears on a wide screen. Spanish by default. No map. | A tablet or computer. The map, the dashboard and the Manager Panel. |
| Use it to | See where things stand, work the lists, read notes and media, follow history and statistics, assign areas, clear finished work | Add or change places, people, gates, bookings, tasks; edit a list’s details; back up and restore |
| Switch with | 🗺 Manager View | 📊 Console |
The switch is in the top bar and only admins have it. The device remembers which screen you were on, even after signing out. Everything in the Manager guide applies to you in Manager View.
The console
- 🔮 Altar is home: one card for each part of the console, each with its headline number — open items, items running low, notes, guests.
- The 🛖 Areas card counts what is wrong — “🛠 3 with problems · ⚠ 2 need attention · 10 areas”, or “10 areas · ● All clear”. Tapping it opens a wall with one monitor per place, showing only the red and amber ones; Need attention (N) / All (N) switch. Each monitor reads ● All clear, ⚠ Attention or 🛠 Problem: red is an open problem reported there; amber is an item running low or a high-priority note. Tap a monitor for everything about that place — who is responsible, inspections, schedule, guests, problems, lists, notes — the same things the map shows a manager.
- The tabs along the bottom: 🛒 Lists, 🧘 Patients, 📝 Notes, 📷 Media, 🕓 History, 📊 Stats, 📅 Calendar, 👥 Responsibilities.
- 🖥 / 🎮 in the top bar switches between the plain look and the darker console look.
| Tab | What you do there |
|---|---|
| 🛒 Lists | Pick a list from the chips (kitchen and market first) and work its full card: items, status, forward, sign off, clear, share, delete. |
| 🧘 Patients | Read-only: who is in residence, who is arriving, which bungalows are free, each with the 🩺 badge. Bookings are edited in Manager View. |
| 📝 Notes | Every note, newest first; filter by high priority, photos or audio; ✏️ corrects a note’s text. |
| 📷 Media | Every photo, recording and file attached to a note, in one gallery. |
Areas of responsibility
The rule: every area of the center always has exactly one person who answers for it. Assignments may be seasonal or tentative; what never changes is that the admins — and anyone you designate Maestro or Family — oversee all of it. Only admins can change this screen; everyone else reads it.
- Open 👥 Responsibilities. The first time, tap Create the standard areas: Kitchens, Bungalows — readiness, Ceremony House, Patients, Grounds keeping & trails, Repairs & maintenance, Palos Maestros, Gates.
- On an area, tap Assign (or Change) and choose the person. Any account can be responsible, except for guest-related areas, which take managers and admins only.
- For a seasonal posting, set Until. Tick Tentative — may change if it is not settled.
- Know who comes next? Schedule a handover: the person and the date they take over. It happens on that date by itself.
- + Add area creates your own: a name, an emoji, and what it Covers — which ties it to places on the map.
What an assignment changes
- Every matching place names that person at the top of its panel — the person to ask.
- Problems reported at those places also go to them, and they are pre-selected to sign the problem off if they are a manager or admin.
- They can see limited-access lists at those places.
- They get a card: “You are responsible for: AREA”.
When an area has nobody
An assignment with an end date lapses the day after it. The area turns red, the 👥 tab shows a ⚠ count, and admins plus Maestro / Family get one “UNASSIGNED AREA” card per area per week until it is fixed.
People: view modes and designations
Accounts live in Manager View: Panel → Users (see the Manager guide — creating people, resetting a worker’s PIN, removing a user). Two settings appear for admins only, on the Add Manager / Admin form and on the Edit sheet, and only for manager and admin accounts:
| Setting | What it does |
|---|---|
| 👩🍳 Cook | Opens that person into the kitchen shopping lists only |
| 🗣 Translator | Opens them into guests, the Ceremony House, bungalows and gates |
| 🧑🔧 Workforce Manager | A label for now; it has no view of its own yet |
| Oversees the property as: Maestro / Family | Lists them under “Overseen by” and sends them the unassigned-area warnings. It grants no extra permissions. |
A view mode is a focus aid: the person keeps every permission, and “Full view” is one tap away. The Translator view finds the Ceremony House by its name, so exactly one place should be named “Ceremony House” (or “Maloka”).
Clearing finished work
- A signed-off list, problem, gate work order or one-off task shows “✔ Signed off by NAME”.
- Check the work, then tap 🧹 Clear and confirm.
- It leaves every screen but stays in the records and in the backup. A cleared list is archived, not deleted — and only an admin can bring it back: Panel → Lists → ↩ Restore in Manager View. It returns as a new request with its signer kept.
Clearing a problem or a work order cannot be undone from the app, and nothing can be cleared before it is signed off — except an item that was already finished before the sign-off rule existed, which shows 🧹 Clear to you directly and records you as its signer. 🗑 Delete on a list is different: it removes the list from every screen. Admins can delete any list, and any manager or admin can rebuild a deleted one from its history (Recover a deleted list).
History and statistics
- 🕓 History — filter by list and by action (added, checked, unchecked, edited, removed, started a cycle, updated notes, changed the status). The activity log shows who did what, and when.
- Shopping cycles shows the last ten: how many items, how many were bought. ↩ Re-add these items puts a past cycle’s items back on the list.
- 📊 Stats — open items, items running low, active lists, notes this week; items bought per week; the most bought in the last 30 days; and what runs out often — candidates for a larger standing quantity.
These numbers are counted from the team’s own ticks and edits. They fill in with use: a new installation shows “not enough data yet”.
Only an admin can…
- Clear signed-off work; restore a cleared list
- Remove a user
- Assign, hand over, add or delete areas of responsibility
- Set view modes and Maestro / Family designations
- Delete a list that someone else created
- Edit or delete a schedule created by another manager
- Restore areas and schedules from a backup
